The Administration Coordinator (Clubs) reports to the Clubs Manager and is responsible for the day-to-day management of the Clubs Department to ensure that UNSW students receive outstanding support from Arc Clubs @ UNSW that is both up-to-date and delivered in a timely manner.

We support over 350 student clubs, wellness and sustainability programs, manage the Village Green Sporting precinct, and run several venues on campus including the Grad Shop and Roundhouse.

Job Description
Key Tasks & Accountabilities
The role will have varied tasks which may include, but are not limited to:
Lead the administration of the Arc Clubs Team and our affiliates.
Coordinate and deliver Arc Clubs’ continued support to over 350 clubs and societies, via club grants, bookings, policy updates, AHEGS recognition and more.
Secure the future of clubs by ensuring they are compliant with financial, fiduciary and legal obligations.
Coordinate student staff and provide the support and training for them to excel in their roles.
Relationship building with UNSW stakeholders, such as students and staff.
Assist the Clubs Manager to create and update new policy that will ensure a better student experience for all club members
Managing the Clubs Office and ensuring the space is utilised by students and kept neat and tidy.
Assist in the delivery of other student programs and events
Proven experience developing and streamlining existing administration processes and procedures
Passion for Campus life, to maximise it at UNSW through student Clubs.
Proven interpersonal skills and experience, ability to work with and positively engage with many different types of people, especially students in a student-oriented environment;
High level oral and written communication skills including proven skills in relationship building;
Experience handling sensitive student issues, incidents and conflicts, both directly and indirectly (e.g. providing guidance to students in handling these situations), applying policies and procedures where relevant;
High attention to detail with demonstrated project planning skills, including experience in planning, overseeing and finalising the completion of projects on time;
Demonstrated competent use of Windows OS, with Advanced competence in Microsoft Office applications (particularly Microsoft Word and Excel);
Desirable
Experience with student Clubs (or similar organisations), especially at UNSW
Proven experience drafting, reviewing and establishing new policy and procedures.
Proven understanding and experience in cultural diversity issues, awareness, promotion and advocacy;
Proven experience using Visual Basic for Applications (VBA) with Microsoft Excel
Experience using CRM software, especially Salesforce & Formstack
Proven experience establishing and training others in administrative procedures
Knowledge of Workplace Health and Safety (WHS) and Ethical Practice, along with the ability to apply these principles in the workplace;
Current Working With Children Check
Current NSW Drivers Licence (at least Provisional)
